Event Planning

Tour Planning
AFR is a nationwide tour operator and has sample tour programs for dozens of cities to help guide you to Top Reunion Destinations. We will advise what tours are the most popular for a particular city, but can customize tours to suit the needs of your group. AFR will contract buses, attractions, tour guides, and restaurants – handling all of the logistics in pre-planning and day-of oversight. We provide a single inclusive price for all tours, which are optional to your group’s members. Many times our tour prices beat the local tour operators in any given city.
Hotel Functions
Our Event Planner will be the sole point of contact with the hotel and ensure that all functions have ample meeting space and the proper setups. We submit detailed meeting room setups for all group functions to the Reunion Chair for approval – for the hospitality room, meetings, and meals. We then manage the creation of the hotel’s Banquet Event Orders, provide the hotel with final banquet guarantees, and oversee banquets onsite. AFR will manage and pay the hotel master account for all group functions.
On-Site Management
AFR handles pre and on-site registration during the reunion and provides oversight for all group meetings, meals, and tours. Our staff will take care of last minute registrations and manage guarantees for tours and hotel meals. For groups of 100 rooms per night and more we have a very efficient system for handling banquet seating assignments.
A final accounting of all income and expenses is provided to the Reunion Chair, along with a final list of room pickups and complimentary room-nights earned. AFR ensures that the hotel master account is correct and that your reunion group receives all the discounts and complimentary items that you expect when the nation’s leading military reunion planner plans your reunion from start to finish.
Exhibit & Sponsor Management
For larger Reunion Groups and Military Associations AFR can handle managing exhibitors from pre registration to booth assignments to on-site management. Whether they are small vendors or the largest Defense Contractors in the industry we have years of experience and provide the personal touch you would expect from the leading military reunion planner.
Your Sponsors make your events happen and make them special for the attendees. For our clients that don’t have the time to answer phone calls and emails from high-priority sponsors, AFR can handle the management of your donating sponsors. Once again our personal, family touch will leave all your sponsors with a positive user experience and feeling like they more than got the attention they deserve.
